Project overview
This is an internal project. Visitors to emphasoft.com often have a quick question before they are ready to fill in a contact form: whether we work with a technology, whether we have done projects in their industry, how a trial task works. A form cannot answer that, and the sales team is not online in every time zone.
We wanted an assistant that answers only from what is on the site, does not invent prices or clients, and passes a request to people when the visitor asks for it.
What we did
Site index: the assistant searches the site's pages and reads a full page when it needs details
Ground rules: a short company summary and strict rules in the prompt, including no made-up prices, deadlines or client names
Lead draft: as the visitor describes the project, the assistant fills in a draft with the summary, timeline, budget and contact details
Consent: the request goes to the team only after the visitor agrees in their own words
Delivery: each lead is saved on our side, then created in Pipedrive and posted to the sales Telegram chat by background jobs that retry on failure
Analytics and privacy: chat opens and chat leads are tracked as analytics events, and the privacy policy explains how chat data is processed
Key results
Visitors get answers at any hour, taken from the site's own pages
A lead from the chat arrives in Pipedrive with the project summary and the conversation
The sales team sees each new chat lead in Telegram right away
No request is sent without the visitor's clear consent
Any company with a content-rich site can use the same setup: an assistant that searches your pages, asks the questions your sales team always asks first, and creates the deal in your CRM. We build it with your CRM and your rules.
Frequently asked questions
How does the chat avoid making things up?
It answers from a search over our own pages and a short company summary, and its rules forbid inventing prices, deadlines, team sizes or client names. If the site has no answer, it offers to pass the question to the team.
Can the same assistant work with another CRM?
Yes. The assistant collects the lead in our own database first, and a separate background job creates the deal. Replacing Pipedrive with HubSpot, Salesforce or another CRM changes only that job.
